About this Role :

As the Head of Administration & Workplace, you will be responsible for building and managing a seamless, high-functioning office ecosystem in Bengaluru. This role goes beyond facilities management, it is about driving operational excellence, enabling employee experience, and ensuring our workplace scales with our growth.

You will lead end-to-end office administration, vendor strategy, facilities governance, compliance to SOPs, asset management, onboarding readiness, and internal workplace initiatives while continuously improving systems, processes, and service standards.

Must-haves (Min. qualifications)
  • Lead complete office administration and workplace operations for the Bengaluru office.
  • Manage office supplies, procurement, and vendor partnerships.
  • Ensure strict adherence to office SOPs including daily cleaning, hygiene, safety, and operational standards.
  • Oversee food vendor partnerships including meals, beverages, refreshments, and daily snack planning and distribution.
  • Monitor office maintenance needs and coordinate with facility vendors for repairs, upkeep, and preventive maintenance.
  • Maintain governance over vendor contracts, renewals, invoices, and service-level agreements.
  • Oversee laptop inventory and asset tracking in collaboration with IT Admin.
  • Ensure onboarding readiness including access cards, seating, onboarding kits, and workspace setup.
  • Act as the primary escalation point for office-related queries and workplace concerns.
  • Manage courier, dispatch, and mail handling processes.
  • Ensure meeting rooms, common areas, and collaborative spaces remain functional and well-maintained.
  • Support internal events, celebrations, and employee engagement initiatives.
  • Identify and implement continuous improvements to enhance operational efficiency and employee experience.
  • On the Job
  • 10–15 years of experience in Administration, Facilities Management, or Workplace Operations.
  • Proven experience managing end-to-end office operations for a fast-growing organization.
  • Strong vendor management and contract negotiation expertise.
  • Experience managing facility operations, hygiene, safety, and compliance standards.
  • Demonstrated leadership experience managing admin/facilities teams.
  • Strong budgeting, invoice management, and cost optimization capabilities.
  • Experience managing IT asset coordination and inventory governance.
  • High ownership mindset with strong problem-solving ability.
  • Excellent stakeholder management and cross-functional collaboration skills.
